Special notice: in accordance with current EU sanctions, any payment from Russian or Belarusian institutions or banks for EPSC2024 registration, abstracts or any other fees cannot be accepted. If you have any questions about this restriction, please contact epsc2024@copernicus.org.
Please note that the conference registration webform will be launched at the beginning of June 2024.

General information

Registration for the European Planetary Science Congress 2024 is by payment of the appropriate registration fee. Registration is required by all EPSC participants including presenting authors of submitted and accepted abstracts, session conveners, and solicited speakers. Registration fees cover access to all scientific events, as well as refreshments during the coffee breaks and networking events.

Pre-registration

Pre-registration at early registration rates will be possible from beginning of June until 31 July 2024. The pre-registration payment can be made by bank transfer, credit card (Mastercard, VISA, JCB or American Express), or PayPal. As of 1 August 2024, the late registration rates will be applied and payment of your registration will only be possible by credit card or PayPal. Bank transfer payments of registrations will not be possible in case of registering after 31 July 2024. Please consider that a registration at the early registration rate requires the payment of the registration amount within the deadline indicated on the invoice (14 days after receipt of invoice). Unpaid early registrations after the payment deadline will be cancelled and the late registration rates will be applied.

Name badge delivery

Participants from most European countries can choose to receive their name badges for on-site attendance by airmail about 8–10 days prior to the conference if registering at the early registration rate and the payment is received by 31 July 2024.

Registration rates for on-site attendance

For the on-site participation in Berlin, the onsite-participation registration fees are invoiced with the German VAT of 19%. Therefore, the onsite-participation registration fees below are gross prices.

Interested teachers (primary and secondary teachers attending only for outreach and education sessions) and amateur astronomers that are not involved in professional planetary research. A TAN code is required for registering at this rate.

A person, who does not take part, either actively or passively, in the scientific programme but who just wants to enter the conference venue. Such a registration can only be acquired in combination with a defined active participant. A TAN code and indivdual Copernicus Office user ID are required for registering at this rate.

Please note that there is no maximum limitation of registrations. Day registrations are limited to one day registration per participant.

Registrations by teacher/amateur astronomers and accompanying persons

A TAN code is required for registering at one of those category rates. Please contact the organizers by email and indicate your Copernicus Office user ID and whether or not you are a member of the Europlanet Society to obtain a TAN code. Participants who will be accompanied by a person must request the TAN code on behalf of their accompanying person. Accompanying persons must use their individual Copernicus Office user account to register.

Name badge pick up and information desk

The opening hours of the name badge pick up and information desk are as follows:

Although registration in the online form will be possible at any time (even during the conference week), please consider that there will be no on-site registration desk for payment. All participants are supposed to register through the online registration form. Registration payments onsite by cash will not be possible.

Registration rates for virtual attendance

Remark on VAT: while the rates for on-site participation for attendees taking part in Berlin are invoiced with the value-added tax (VAT) of Germay, fully virtual participation at EPSC2024 has by EU law a different regulation. The prices below are all net prices. The VAT in the invoices and payments will be added as follows and depends on (a) the country of residence of the attendee and (b) whether they apply an institutional invoice to their employer or a personal invoice:

  • Institutional invoice for German institutions: 19% German VAT will be added to the net prices given below and the gross amount must be paid.
  • Institutional invoice for institutions from EU countries excl. Germany: the institution's VAT ID must be provided. Then, the reverse-charge procedure will be applied. The invoiced amount stays net and the institution is obliged to settle the VAT in their country.
  • Institutional invoice for institutions from outside the EU: the reverse-charge procedure will be applied. The invoiced amount stays net and the institution is obliged to settle the VAT in their country.
  • Personal invoices, residency Germany: 19% German VAT will be added to the net prices given below and the gross amount must be paid.
  • Personal invoices, residency EU excl. Germany: the OSS procedure will be applied. Copernicus will use the VAT rate of the country of residence of the attendee. This VAT rate will be added to the net prices below when issuing the gross invoice amount to be paid. Copernicus will centrally settle these foreign-country VAT amounts with the German authorities.
  • Personal invoices, residency outside the EU: this is not possible. Attendees from outside the EU must apply an institutional invoice.

Europlanet Society membership

Members of the Europlanet Society enjoy discounted registration fees for EPSC2024. The Society brings together planetary scientists from across Europe and beyond, providing tools and services to support the community. For €50 per year (with reduced rates for early careers, retired researchers, amateurs, outreach providers, and researchers from under-represented countries), members have access to webinars, training, regional and early career-focused activities, and a wide range of resources to support them in their careers and research.

Europlanet Society membership is open to active researchers, early career scientists, students and retired scientists, as well as amateur astronomers, industrial partners, outreach providers and educators. Organizations can also join the Europlanet Society and grant up to 10 individual memberships to their staff.

Applications for bursaries have been integrated into the abstract submission process. Please note that bursary applications are only possible during the abstract submission process, which closes on 15 May 2024 at 13:00 CEST.

Terms and conditions

General

  • Early registration must be accompanied by payment. Otherwise, it will not be processed and the late registration rates will be applied.
  • No access (onsite or virtual) is granted in case of an unpaid registration invoice.
  • Registrations are for the person acquiring the registration and paying the registration fee; registrations are non-transferable.
  • Changes to registration invoices are only possible with regard to the invoice address or order references. Any such claims must be received by Copernicus Meetings no later than 6 weeks after the last day of the conference. Later requests cannot be considered.
  • Changes to the registration rate selected in the finalized registration form, including received invoice, can only be realized for unpaid invoices. In this case, the attendee is asked to cancel the registration order and to place a new order through the registration form, including the correct registration rate. Please note that the deadline for early registration is also valid in such cases.
  • If you either pay for an on-site participation or virtual participation, but later need to change your registration type, please contact accounting@copernicus.org by requesting the change and stating your invoice number. You will receive a full refund of your paid fee and you have to register again at the rate that is valid at the time of your new registration. You can only change your registration type before last day of early registration (30 July 2024).

Cancellation policy

  • Registration fees will only be refunded if the notice of cancellation is received by Copernicus Meetings before 15 August 2024. The cancellation fee is €50.
  • Cancellations after 15 August 2024 and no-shows are not eligible for a refund.
  • There is no reason (including but not limited to illness, inability to travel, visa application rejection, travel restrictions, etc.) for registration cancellation that makes the above-mentioned deadline for cancellations inapplicable. Conference registrations for on-site attendance will also allow access to the virtual part of the conference.

Importance notice

  • Once your payment has been processed, you will be informed by email with your receipt and your invoice attached.
  • All registrations will be registered through the Copernicus Office Trader, which will also allow the registrants to monitor their entry.
